Privacy policy
This policy explains how OpenExpertsAI handles the personal data it collects through this website and its demo request form.
Last updated: 28 October 2026
In short
- If you book a demo, we keep the details you type into the form so that we can contact you about it.
- Our server keeps a simple log of page requests and counts daily visits. Neither stores your IP address.
- This website sets no cookies. Cloudflare may set a short-lived security cookie if it needs to check for automated traffic.
- We do not sell your details or share your demo request with other companies. Cloudflare delivers this website, so everything you send to it, including the form, passes through Cloudflare’s network. Google Fonts serves the fonts. Both receive technical data such as your IP address.
1. Who we are and how to contact us
OpenExpertsAI (Open Experts AI) is a company based in Ho Chi Minh City, Vietnam. In this policy, “we” and “us” mean OpenExpertsAI.
For any question about this policy or about your data, email [email protected].
2. What this policy covers
This policy covers this website, openexpertsai.com, and the demo request form on it.
It does not cover the AI workspaces we set up for clients. Our security and data handling page explains how those workspaces handle data, and backup, retention and deletion are agreed with each client organisation in writing.
3. What we collect
When you request a demo
The form asks for:
- your full name
- your work email
- your organisation
- your phone number (optional)
- your industry
- what you would like AI to help with (optional)
With your answers we also store the language of the page you used, the time we received the request, and the version of this policy you agreed to.
The server also stores a one-way code (a salted hash) made from your IP address. We use it only to limit abuse of the form. We do not store the IP address itself on disk.
To apply the form’s hourly limits, the server keeps your IP address (for IPv6, its first half) in memory for about an hour. It is not written to disk or to the logs.
When you visit any page
Our server logs record the time, the page address and the result of each request. They do not record IP addresses or form contents.
Visitor counting without cookies
We count visits on our own server. We use no cookies, no tracking scripts and no outside analytics service. Each day, the server counts:
- the number of views of each page
- the names of the websites that sent visitors here, for example google.com (the name only, not the full address)
- the countries reported by Cloudflare
- how many visits came from phones and how many from computers
To count unique visitors per day, the server makes a one-way code from your IP address and browser type, using a random key that changes every day. The key and the codes stay in the server’s memory only and are discarded after the day ends. Only daily totals are saved.
4. Why we use it
- To answer your request. We use your demo request only to contact you about the demo and a possible pilot.
- With your consent. The form has a consent checkbox, and you cannot send the form without ticking it. We record which version of this policy you agreed to. The current version is 2026-10-28.
- No marketing. We do not add you to a mailing list. We do not send you marketing emails unless you agree to them separately.
- To limit abuse. The one-way code made from your IP address, and the IP address the server holds in memory for about an hour, are used only to limit abuse of the form.
- To run the website. Server logs and daily visitor totals help us run the website and see how many people visit each page.
5. Where it is stored and who can see it
Demo requests are stored in a file on OpenExpertsAI’s own server in Vietnam. Only OpenExpertsAI can read them. We do not sell them or share them with other companies.
Server logs and daily visitor totals are also kept on our own server.
6. Service providers
- Cloudflare delivers and protects this website. All traffic to and from the site, including the demo form, passes through Cloudflare’s network, possibly outside Vietnam. Cloudflare’s network decrypts and re-encrypts this traffic on its way to our server. Cloudflare therefore processes visitors’ IP addresses and technical connection data, and carries the demo form to our server when you send it.
- Google Fonts. Our pages load fonts from Google Fonts, so your browser connects to Google’s servers, which receive your IP address. This may also happen outside Vietnam.
- Telegram. When a demo request arrives, we receive a Telegram message that only says a new request has arrived, with the time and a random reference number. It contains no name, email, phone number or message. Telegram receives no other information about you from this website.
- Email. If you email [email protected], Cloudflare Email Routing forwards the message to our Google Gmail mailbox, where it is stored. Cloudflare and Google therefore process your message and email address, possibly outside Vietnam.
7. Cookies
This website sets no cookies. Cloudflare, which delivers the website, may set a short-lived security cookie if it needs to check for automated traffic.
8. How long we keep it
- Demo requests, including the one-way code stored with them, are deleted 24 months after our last contact with you, or sooner if you ask.
- Form limits: the IP address the server holds in memory to apply the form’s hourly limits is kept for about an hour.
- Visitor counting: the daily key and the one-way codes are discarded after the day ends. Only daily totals are saved.
9. Your rights and how to use them
Under Vietnam’s personal data rules, you can:
- ask what personal data we hold about you
- ask us to correct it
- ask us to delete it
- withdraw your consent
- object to how we use it, or ask us to restrict its use
- complain to the authority: the Ministry of Public Security’s Department of Cybersecurity and High-Tech Crime Prevention (A05)
If you withdraw your consent or ask us to delete your data, we delete your whole demo request record, including the one-way code.
To use any of these rights with us, email [email protected]. Tell us what you would like us to do, and include the email address you used on the form so we can find your request.
10. How we protect it
- The website is served over HTTPS.
- Demo requests are stored with access restricted to OpenExpertsAI.
- The form has rate limits and spam protection.
No website can be made completely secure, but these steps reduce the risk.
11. Changes to this policy
If we change this policy, we will publish the new version on this page and change the date at the top. The version you agreed to is stored with your demo request.
